Cymoedd Sir Fynwy – Event Rules

By entering the Cymoedd Sir Fynwy, the entrant agrees with the following

Event Rules

  1. Entries: Online entries only.
  2. Event is open to: All persons aged 18 years or over on the day.
  3. Route descriptions: Will be available on the event website approximately two weeks prior to the event. GPX tracks of the route will also be available on-line. Please do not climb fences or walls, take shortcuts, or trespass.
  4. Retirements: If an entrant wishes to retire, they MUST do so at a checkpoint and they will be transported back to Walk HQ. Entrants MUST leave checkpoints by the published closing times. Anyone failing to do so will be retired and transported back to Walk HQ. The emergency telephone number will be shown on every entrant’s tally card.
  5. Checkpoints: Entrants are to visit all checkpoints in order that they are set, including digital control zones, and in the case of staffed checkpoints, must ensure that their tally card is clipped.
  6. Check-in at the finish: All entrants, including retirees, must check in at The Girl Guide Hall, Abergavenny before journeying home so that we can collect the tracker that entrants will carry and in order that we can account for everyone’s safety.
  7. Equipment: All entrants MUST carry the following items:-
    • OS Landranger Map 161 and 171 (or OL13 & Explorer 152),
    • Route Description, This must be the Official route description of the event and can be in paper form and kept waterproof,
      OR
    • An electronic version provided durability and adequate power supply can be demonstrated if requested by a marshal,
    • A full set of waterproofs that cover the whole body,
    • An additional upper body layer to be worn or carried e.g. Long sleeved Base Layer / Fleece,
    • Hat & Gloves,
    • Trousers to be carried if shorts are worn and can include tracksters / running tights AND insulated waterproof trousers. (If shell waterproof trousers are carried, then additional trousers WILL be required as shell waterproof trousers do not provide insulation to the body). The purpose of carrying trousers is to enable an entrant to remain warm when the temperature drops. Entrants should bear in mind that if the weather changes or they suffer an accident that they must be able to dress appropriately as the temperature can drop significantly, even in late spring,
    • Compass with a dial and this can include an electronic device provided adequate power can be demonstrated if requested by a marshal,
    • A whistle,
    • A survival bag or space bag (not space blanket),
    • First aid kit, which at a minimum must include plasters, adhesive dressing, antiseptic wipes, fixation tape and low adherent dressing,
    • Suitable footwear with good tread,
    • Emergency food,
    • A sealable drinks container, minimum size 0.5 litre,
    • A GPS tracker that will be supplied at the start of the event and which must be returned on returning to Walk HQ. The tracker should be switched on at all times and positioned near to the top of your rucksack to permit its signal.
    • THIS IS A MOUNTAINOUS EVENT AND THE EQUIPMENT LISTED ABOVE IS THE MINIMUM THAT WE WOULD EXPECT YOU TO CARRY.
    • Mug – Please bring a mug for breakfast / checkpoint / finish drinks. You will not be disqualified if you are not carrying a mug but you might not get a warm drink at the checkpoints if you don’t have one.
  8. Dogs: No dogs as it is lambing season.
  9. Safety: The organisers reserve the right to refuse entry, require an entrant to retire on safety or other grounds, postpone or cancel the event if weather conditions are bad, disqualify an entrant for infringing the Country Code, or taking shortcuts over fences or farmland off the right of way.
  10. Trackers: All entrants are required to carry the supplied GPS tracker. It should remain switched on for the entire event and be carried in the location advised by the organisers.

Country code: Be safe, plan ahead and follow any signs. Leave gates and property as you find them. Protect plants and animals and take your litter home. Keep dogs under close control. Consider other people.

Data Protection Statement

Entrants understand and agree that their personal information submitted as part of their entry will be held by the event organisers for a period of up to three years after the event and is held for the purposes of managing this event only. Entrants further understand that photographs are likely to be taken the event, which may be featured in Strider magazine or on LDWA websites. Additionally, entrants understand that Summary Information* may be published immediately and may be held in perpetuity for the purposes of providing a record of the event. Entrants have the right to contact the organisers and request that all of their personal Summary Information* is anonymised.

* Summary information is limited to the entrants name, age, gender, postal town, LDWA membership number, event name and date, distance covered, time recorded as well as any other linked walking achievement.

Entrants can choose to remain anonymous during any of the event live progress reporting. However, for operational and safety reasons the organisers will need to store entrants personal information on a computer. This is a pre-condition of entry and by entering the participant agrees to this temporary storage. This information will be held by the teams helping to plan and marshals’ managing the event, on a strictly need-to-know basis and will be erased after any report and results have been published.
